Receiving Calendar Invitations in Thunderbird from iCal, Entourage, Outlook & Zimbra

This article is about what to expect when sending invitations from iCal, Entourage, Outlook and Zimbra’s web client to Thunderbird with the Lightning extension installed.
The Macintosh Thunderbird mail client freely available from Mozilla.com has much to recommend it, especially when used in conjunction with the extension called Lightning, in early beta. Together they make for a very fast, streamlined user experience, and provide the triumvirate you may have come to expect from Outlook/Entourage, and Mail/iCal/AddressBook: Email, Calendaring and Contact management. Their current primary drawbacks when used with Zimbra are that they do not sync contacts and calendars with the Zimbra server, the way for example iCal and AddressBook do with Zimbra’s iSync Connector, and… you cannot yet initiate invitations to events.
Why is the development of Thunderbird and Lightning interesting? It’s not – if you’re looking for mail, calendar and contact combo and are fine with getting it through, for example, Zimbra’s comprehensive web interface, however, currently on the Mac the only option to both send and receive calendar invitations via an e-mail client is from within Entourage. In OS X 10.4 Tiger, Apple’s Mail.app unfortunately does not yet recognize invitations. And many people would like more options than Microsoft Entourage. Even one more option would be fine for many people. So there’s some enthusiasm at the introduction and development of another competitor in the field.
A note to Firefox users: you can download Thunderbird using the Firefox browser however you may not be able to download Lightning using Firefox. If Firefox is your only option, Right-Click to download directly to disk. If not, expect the following dialog prompt:

Users using, for example, Camino or Safari, should not experience this issue.
Also note that the Lightning add-on is still in BETA. Use at your own risk.
Thunderbird to Thunderbird
Sender’s view:

When scheduling a meeting from one Thunderbird account to another, a user can perform the following steps:
- Click the Calendar Tab
- Select the time and date on the calendar by double clicking anywhere on the day of the meeting or event. You can always adjust the time later.
If scheduling to your own calendar, use this window:

If you want to add attendees to your invitation, click the More >> button to expand the window:

(3) Complete all appropriate fields. Click OK.
This entry will be added to your own calendar but… no one else’s calendar. The ability to send calendar invites from Lightning (through Thunderbird) is anticipated in a future release.

- Note: When an invite is received from Zimbra by Thunderbird, a button appears in the top right corner of the recipients preview pane which reads, “Add To Calendar” and an .ics attachment appears at the base of the preview pane.
- Clicking this button will add this calendar entry to both the Thunderbird calendar and the Zimbra calendar.

- Note: When an invite is received from Entourage by Thunderbird, the .ics attachment appears in the email (notice the icon at the base of preview pane).
- Double clicking the icon will display:

Select OPEN WITH and choose iCal.
(3) The message invitation will be added to the calendar.

When an invite is received from iCal by Thunderbird, nothing appears in the recipient’s preview pane to indicate there is an invite to be accepted or attachment to be added to the calendar. Only the subject line states that this message is an iCal event invitation. The calendar entry automatically enters the invite into the calendar.

- Note: When an invite is received from Outlook by Thunderbird, a button appears in the top right corner of the recipients preview pane which reads, “Add To Calendar” and the .ics attachment at the base of the preview pane.
- Clicking this button will add this calendar entry to both the Thunderbird calendar and the Zimbra calendar.
We’ll update this more as the software develops. And, with luck, perhaps Apple Mail will recognize invitations, too, upon the release of Leopard, and we can add it to the mix here, too.
Now if I would only get more invitations…

I’ve tried Lightning with TB1. 5 and 2.0. I’ve configured TB to use iCal when opening .ics attachments. When I click on it iCal opens up, but nothing appears in the calendar. Any ideas on what could be the cause?

Hm, I don’t see this happy button. Thunderbird 2.0.0 and Lightning 0.8 on Win XP.
I love Thunderbird; it has replaced my Outlook Email client; I’m about 90% there on replacing the Outlook Calendar client…

I can see that button, even a second one. One to accept the invitation, another to dismiss it. But if I click on the accept button, nothing happens, the event doesn’t occur in the calendar.

I don’t see the button either, but dragging the .ics to the calendar icon works.

drag and drop opens a new calendar entry, but i can note save it. manually created entries can be saved.

Still running into this issue of not being able to insert a .ics into the Lightning calendar from a file attached to my Thunderbird email. Has this thread moved? Is this issue being looked at?

Hi Jeff –
Accepting .ics files is working on our end (Thunderbird version 2.0.0.16/Lightning 0.9). In the email message containing the .ics file, Thunderbird recognizes the .ics file as a new meeting request with Accept/Decline/Tentative:
Once a status is selected, the event is added to the Lightning calendar. If this is not working properly, ensure you’re up to the latest Thunderbird/Lightning releases. If you’re still experiencing issues, please post your Thunderbird/Lightning version & whether you’re using Mac or PC.

Same for me, I’ve got Thunderbird 2.0.0.21 and Lighting 0.9 on WinXP, and I don’t see any “Add to calendat” button or the message as shown in the picture above….

I am getting .ics meetings added to my workstation’s calendar, but not synched up to my Google calender (for synching to my iPhone). Is there a way to get that link working? If I add the appointment manually, the upload works fine and shows up on my iPhone.

Look above the “Calendar” icon – there should be a line like “Invitations (1)” in case you received one unprocessed invitation (at least for .ics). Click on this text and you will be offered to accept, decline or confirm later. This is w/TB2.0.0.21 and Lighting 0.9 on WinXP.

I received an invitation (sent from an Outlook 2002 machine.) In my Thunderbird inbox, it shows up properly as an Event Invitation, but on the bottom left corner, it shows Invitations (0) and when I click on the Accept button (top right of the message) a small Select Calendar window pops-up but is empty and Ok is grayed-out, so I cannot proceed. I have to Cancel without adding the event to my calendar. In all other ways, my Calendar appears to be working (and sync’ing with Google via Provider for Google Calendar 0.5.1 add-on) just fine. FYI: I also sync contacts via Zindus 0.8.10 add-on without incident.

Thanks for your comment. Note that Zimbra does not support Office 2002 (Outlook 2003 & 2007 are supported), so the issue most likely is related to Outlook 2002 invites.
